Position Summary

Interior Health is hiring a permanent full-time Administrative Assistant to provide confidential administrative support to the Director, Clinical Operations.

This position will be based on site at either Dr. Helmcken Memorial Hospital (DHH) in Clearwater, B.C., or 100 Mile District Hospital (OMH) in 100 Mile House, B.C. The successful candidate must be able to work on site at both locations and travel between the two sites as required by operational needs.

Who are we looking for?

We are looking for an Administrative Assistant/Medical Administrative Assistant with strong knowledge and experience who has the ability to pivot from one task to another as priorities change. Strong technical skills when it comes to documents and SharePoint. Good team player as they will interact with multiple leaders, Doctors, and other front line staff. We are looking for someone who is comfortable building and maintaining strong relationships with team members and other departments.

The successful candidate will have strong critical thinking skills and needs to be able to anticipate and prioritize arising issues related to the department. The ideal candidate is detail-oriented, knowledgeable, and skilled someone who takes pride in their career and can make a significant impact in our fast-paced environment. Salary Range:

The salary range for this position is $49,445 (min) to $61,806 (midpoint) to $64,897 (max) per annum, based on 1.0 FTE. Interior Health typically establishes salaries within the minimum and midpoint of the salary range based on qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

What will you work on?

This position will provide support as Medical Administrative Assistant (MAA) 20% and as Administrative Assistant 80%. The successful candidate will need to be on site at either location depending on operational requirements. e.g., as MAA they take minutes and organise LMACs so being on site is a must for those meetings.

The Administrative Assistant works in a team environment to provide confidential administrative support functions to the Director for the department or program and other management staff as required. The Administrative Assistant serves as a vital linkage and communication source to keep the department or program informed and aligned to its priorities.

Some responsibilities include: coordinating and organizing workflow; determining priorities; composing confidential correspondence for signature; designing and creating correspondence, documents, presentations, orientation packages, and spreadsheets (including data entry) for authorization by the management team; maintaining the integrity and confidentiality of all information which flows through and is processed for management as it pertains to client care, operations, personnel, labour relations, finance, and public affairs; and supporting the Director in setting the positive, collaborative, efficient tone for the department or program.

Qualifications

Education, Training, and Experience:

• Diploma and graduation from a recognized secretarial program.
• Three to five years of experience in an administrative support position, including experience working with various computer software programs.
• Or an equivalent combination of education, training, and experience.

Skills and Abilities:

• Ability to communicate effectively, both verbally and in writing.

• Ability to type 50 wpm and set up letters, reports, etc. in a professional format.
• Knowledge of applicable computer hardware and software programs and ability to perform web-based searches.
• Ability to operate related equipment.
• Physical ability to perform the duties of the position.
