Interior Health is looking for an experienced, highly efficient and self-directed permanent full-time Assistant, Leadership & Organization Development, to join the passionate and enthusiastic Organizational Development & Change department in Kelowna, B.C.
This position offers the opportunity for some hybrid work.

We are looking for a highly organized, proactive, and detail-oriented candidate who brings strong administrative coordination, technical, and relationship-building skills to support the delivery of Leadership and Organization Development programs. The ideal candidate is comfortable managing multiple priorities, schedules, registrations, logistics, records, resources, and deadlines while maintaining a high level of accuracy and confidentiality.
The successful candidate will have strong proficiency with Microsoft Office and the ability to quickly learn and confidently use a variety of digital platforms and tools, including learning management systems, virtual meeting platforms, and software used to develop and maintain program materials. The successful candidate will demonstrate strong problem-solving skills, sound judgment, and initiative, with the ability to troubleshoot issues, identify opportunities for process improvement, and appropriately escalate concerns. The ideal candidate will communicate professionally with facilitators, learners, internal and external partners, and team members, and will be comfortable working collaboratively in a fast-paced environment where priorities may change. Experience coordinating learning, leadership development, organizational development, training, or other complex programs, along with an aptitude for technology and data management, would be an asset.

Salary Range:
The salary range for this position is $58,494 (min) to $73,117 (midpoint) to $76,773 (max) per annum, based on 1.0 FTE. Interior Health typically establishes salaries within the minimum and midpoint of the salary range based on qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.
What will you work on?
The Assistant, Leadership & Organization Development is accountable for providing support for the Leadership & Organization Development team, by acting as a producer for virtually delivered Leadership Development courses; assisting with maintaining the scheduling, registrations, and logistical support for Leadership Development programs. Additionally the Assistant will provide first-level support for the Learning Management System (LMS), and supporting Leadership and Organization Development key projects or events as needed.
Some Typical Duties and Responsibilities:
1. Provides technical support as needed for virtual Leadership Development programs, acting at the Producer for the courses and providing a first-level troubleshooting support for learners and/or follow up as needed. Includes but not limited to using software platforms such as Zoom, MS Teams, Padlet, MentiMeter and EdApp.
2. Liaises with facilitators, coordinator(s), and learners to address questions and support seamless delivery of programs. Including but not limited to creating and maintaining producer guides, sending welcome emails, promptly addressing learner inquiries, maintaining accurate attendance records and managing timely correspondence.
3. Supports the creation, design, maintenance and standardization of materials, quick reference guides and assessment tools. Includes but not limited to using products such as Canva, Adobe Acrobat DC, Powtoon, PowerPoint, and Visio.
4. Assist with developing and maintaining the schedules for programs/courses; monitors and processes registrations; and arranges venues, materials, and logistical support as needed.
5. Provides administrative support such as process documentation, identifying trends, maintaining inventory and escalating issues to the Coordinator(s)/Manager, as appropriate. Assists with the processing and recording of invoices. Maintains an efficient filing system.
6. Provides support in the creation, organization and maintenance of our internal information management systems for the L&OD team including file management, Sharepoint sites, Microsoft Teams workspaces and other systems
7. Participates in continuous quality improvement activities by performing duties such as providing input/feedback to Coordinator(s) on processes and opportunities for process improvement.
8. Prepare, update and convert documents, spreadsheets, correspondence, and presentation materials in an accurate and timely manner including material that is confidential or sensitive in nature.
9. Provides backup and vacation coverage for administrative functions on the L&OD team including coverage for Leadership & Development Coordinator.
10. Performs other duties as required.

Qualifications
Education, Training, and Experience:
• A diploma in Human Resources, healthcare administration or a related field.
• Three (3) to five (5) years recent, related experience in customer support, education, business or health care environment, plus expertise with Microsoft Office Suite (including Word, Excel, PowerPoint, and Visio) and SharePoint.
• Previous experience with multimedia software considered and learning management systems are considered assets.
• Or an equivalent combination of education, training, and experience.
Skills and Abilities:
• Ability to create complex schedules for learning based on multiple inputs and dependencies as well as maintain and revise existing schedules based on operational requirements.
• Ability to quickly learn collaboration technologies to support virtual delivery of leadership development programs.
• Ability to work independently in a team environment, effectively organize own workload, and multitask to meet a variety of deadlines. Demonstrated ability to plan and set priorities.
• Demonstrated ability to take initiative in problem solving and implementing changes and new systems.
• Ability to establish and maintain effective working relationships within a team environment.
• Ability to communicate effectively, both verbally and in writing, with people from all levels of the organization and community.
• Advanced ability in Microsoft Office Suite (including Word, Excel, PowerPoint, and Visio) and other program specific software.
• Commitment to client satisfaction and client focus-ability to see situations from customer point of view and understand implications.
• Able to take initiative and identify best outcome resolutions for clients and customers in a timely manner.
• Able to create processes and workflows.
• Ability to be flexible and adaptable to changing needs.
• Ability to type a minimum of 50 wpm and operate office related equipment.
