Labour Relations Assistant (WORKSITE LOCATION IS FLEXIBLE)

Position Summary

Interior Health is looking for an experienced, highly efficient and self-directed term specific full time Labour Relations Assistant to support the Labour Relations Centre. The location of this position is flexible within the Interior Health region.

This term position is until September 1, 2027 or return of the incumbent.

Who are we looking for?

We are seeking a highly organized and detail-oriented Labour Relations Assistant who provides confidential, professional administrative and technical support to the Labour Relations Centre. The ideal candidate demonstrates sound knowledge of collective agreements and labour relations practices, with the ability to provide basic guidance to managers and employees while appropriately escalating complex matters to Labour Relations Specialists. This role requires strong communication and coordination skills to manage grievance documentation, track and report on grievance activity, support hearings and meetings, and liaise effectively with unions, managers, and HR partners. The successful candidate will be adept at handling sensitive information with discretion, supporting LR Specialists, maintaining accurate records and databases, and contributing to HR projects in a fast-paced, unionized environment.

**Strong technical proficiency, including advanced Excel functions (such as mail merges), document management systems, and experience with SharePoint, would be considered an asset.

Salary Range:

Salary range for the position is $57,347 to $75,268. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

What will you work on?

The Labour Relations Assistant provides technical assistance such as research and third party hearing preparation; composing, typing, photocopying, and distributing correspondence of a confidential nature, such as grievance information, discipline letters, and workplace environment issues; coordinating union management, Step 3, committee, and other relevant meetings; participating in related Human Resources (HR) projects as assigned; preparing for meetings by booking facilities and coordinating setup and arrangement of equipment; and responding to routine inquiries, answering telephones, taking messages, and re-directing calls as required.

The Labour Relations Assistant provides advice and guidance on basic Collective Agreement and policy issues and directs client-managers and employees to the appropriate Labour Relations Specialist who can address their needs.

SOME TYPICAL DUTIES AND RESPONSIBILITIES:

1. Composes, types, photocopies, and distributes correspondence of a confidential nature, such as grievance information, discipline letters, and workplace environment issues. Types minutes for various meetings.

2. Communicates with HR Business Partners, Managers, and unions to ensure relevant information and documentation is received. Tracks status of all third step and third-party grievances. Maintains grievance database. Compiles reports and statistics for the Labour Relations Centre.

3. Implements grievance resolutions. Provides direction and documentation to appropriate departments/ Managers for implementation of resolutions. Identifies applicable amendments to timekeeping, master file, etc., for proper implementation. Processes payment of all grievance, third party, and legal costs.

4. Advises Managers/Supervisors on basic Collective Agreement issues with an emphasis on employee relations and contract interpretation.

5. Prepares for meetings by booking facilities and coordinating the setup and arrangement of equipment. Coordinates third party arrangements.

6. Arranges travel and accommodations by booking and confirming flight information, car rentals, and hotel reservations.

7. Assists in the development and updating of the Labour Relations InsideNet page.

8. Maintains filing system. Reviews expenses and submits for approval.

9. Performs other related duties as assigned.

Qualifications

Education, Training, and Experience:

• Completion of a secretarial certificate or business diploma supplemented by courses in Human Resource Management.
• A minimum of three years of related experience.
• Or an equivalent combination of education, training, and experience may be considered.

Skills and Abilities:

• Basic knowledge of contract interpretation and administrative practices sufficient to assist the LR Specialist with a variety of tasks.
• Sound judgement and problem-solving skills.
• Excellent oral and written communication skills.
• Ability to organize and prioritize work.
• Ability to be discrete, tactful, and flexible.
• Ability to operate related equipment.
• Physical ability to perform the duties of the position.
