Position Summary

Dr. Helmcken Memorial Hospital has an exciting opportunity for a Casual Patient Registration, Cashier, Health Records Clerk to join their team in Clearwater, B.C.!

This position works rotating days 08:00 to 16:00, 10:00 to 14:00

What Will You Work On?
This position performs a variety of clerical duties related to patient registration and health records, accounts receivable and cashier functions and scheduling and booking outpatient appointments. Performs reception functions and other related clerical duties.

In accordance with established policies and procedures performs patient registration duties such as
• Interviewing patients/relatives to obtain personal information and proof of eligibility; explaining hospital policy on matters such as room deposits and room differentials; completing/printing registration forms using the computerized admission/discharge/transfer system; and obtaining signatures on all release forms as required.
• Schedules and books outpatient appointments by performing duties such as receiving appointment requests, making follow up appointments, adjusting arrangements in accordance with patient and facility requirements, assigning to the appropriate time, date and location, and entering appointment information into computerized scheduling system. Confirms appointment information with patients/physicians as required.
• Requisitions diagnostic tests and procedures in accordance with established procedures by performing duties such as faxing requisitions; entering requisitions into computerized systems, etc. Telephones or transmits test results and/or medical information to patients, physicians and others according to established procedures.
• In accordance with established policies and procedures performs cashier duties such as: balancing cash daily against receipts and preparing bank deposits and cash reports; balancing cash journals and/or summary sheets; preparing computerized deposit listings; maintaining and balancing petty cash and/or float(s) and making disbursements as required.
• In accordance with established policies and procedures performs accounts receivable duties such as: inputting charges/payments against trust/comfort accounts into GoldCare system; receiving payments for a variety of patient bills and sundry accounts; recording payments in cash journals and/or summary sheets; posting billing information into appropriate computerized records; and issuing change and receipts.
• Performs receptionist duties such as answering the telephone, directing calls, distributing messages via boxes, receiving patients/visitors, providing direction and responding to inquiries of a general nature.
• Receives, checks and deposits patient valuables for safekeeping, returns valuables in accordance with facility policy, and maintains related records.
• Identifies available bed booking options and communicates these options in accordance with the established procedure.
• In accordance with established policies and procedures performs a variety of health records duties such as: pulling and assembling charts/files; identifying and processing corrections in medical records; receiving and processing requests for release of information; pulling designated classes of files for review processes; reviewing completed charts and files for completeness and demographic accuracy; calculating and maintaining statistics; monitoring and maintaining health record tracking systems; identifying duplicate patient records and merging duplicates as required; preparing health records for regional coding processes; entering information into appropriate registries and/or databases, etc.
• Retrieves, organizes and maintains filing systems for patient records, reports and other documents in paper or electronic form according to established procedures and standards.
• Reviews admission/discharge forms or reports for correct insurance classification, verifies patient eligibility by various telephone or automated online systems. Follows up on discrepancies such as rejection of personal health number and other identifying information, and adjusts corresponding insurance and charges.
• Provides clerical support to various departments in the facility by performing duties such as; typing technical and non-technical material such as correspondence, medical reports, statements, medical billings from written drafts, revisions or dictating machine; receiving, opening and redirecting incoming mail; maintaining established inventory levels for required supplies by completing purchasing and stores requisitions.
• Participates in continuous quality improvement activities by performing duties such as providing input/feedback to the Manager on work procedures and opportunities for process improvement.
• Assists with orienting new staff/volunteers by performing duties such as demonstrating work procedures, providing a tour of the facility and demonstrating use of office equipment.
• Performs other related duties as assigned.

Qualifications

Education, Training & Experience:
• Grade 12
• Two years; recent related experience, or an equivalent combination of education, training and experience
• Completion of a Typing Test at 45 wpm dated within the past 48 months and must be issued from a valid institution only. (Non-supervised tests are not accepted)
• Knowledge of medical terminology.
