Position Summary

Interior Health is hiring a permanent full time Assistant, External Workforce Coordination to provide confidential administrative support functions to the Human Resources External Workforce team. The location of this position is flexible within the Interior Health region.

Salary Range:

Salary range for the position is $48,476 to $63,624. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

What will you work on?

The Assistant, External Workforce Coordination supports the sustainment of the External Workforce Coordination program. The assistant provides support to Interior Health employees, provincial employees, and agency staff for work deployments across the Interior Health region. This position will collaborate with key partners in Operations, Human Resources, Business Support, and other internal and provincial partners to support a successful and effective program.

Some Key Responsibilities:

1. Supports the planning, implementation and sustainment of the processes and procedures specific to the External Workforce Coordination program.

2. Assists in the coordination of activities to support the deployment of Interior Health employees, provincial employees, and agency staff, including correspondence, travel, accommodations, and scheduling.

3. Follows standard operating procedures, guidelines, and processes to support the effective and efficient delivery of the program.

4. Collaborates with the Lead, External Workforce Coordination, internal operational leaders, and GoHealthBC coordinators to assess the sites/programs with the greatest staffing needs and strategically prioritize the utilization of external personnel to fill vacancies in order to maintain service delivery.

5. Provides assistance on projects by collecting data requiring the evaluation and determination of available sources. Assembles and edits reports in an appropriate format.

6. Documents and clearly communicates deployment decisions to required parties. Initiates follow-up processes with staff and others, as required.

7. Drafts correspondence/reports as requested. Prepares spreadsheets, graphs, flow charts, and statistics as required.

8. In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. Employees are responsible to report any identified hazards, unsafe conditions or incidents to the manager or supervisor immediately.

9. Performs other related duties as assigned.

Qualifications

Education, Training, and Experience:

• Certificate or diploma in a related field.
• One to three years of recent, related experience including experience working with various computer software programs.
• Or an equivalent combination of education and experience.

Skills and Abilities:

• Ability to communicate effectively, both verbally and in writing, with demonstrated client relations skills.
• Ability to deal with diverse individuals and groups effectively.
• Ability to organize workload and set priorities by managing challenging and competing demands within a limited timeframe.
• Ability to provide solution-focused approaches to problem solving.
• Ability to analyze data to produce effective reports and recommendations.

• Demonstrated ability to type 50 wpm and set up letters, reports, etc. in a professional format.

• Physical ability to perform the duties of the position.
