Team Lead | Recruitment Assistant (WORKSITE LOCATION IS FLEXIBLE)

Position Summary

Salary range for the position is $67,861 to $97,550. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

How will you create an impact:

The Team Lead, Recruitment Assistant (Lead) is responsible for defining report requirements, creating, coordinating, and producing reports from recruitment systems (including the Applicant Tracking System (ATS) and eStaffing) to support department and portfolio recruitment sourcing planning activities. The Lead is also responsible for recognizing current and future decision support, informing retention and recruitment strategies, and identifying opportunities for improvements in service efficiencies.

As part of Employee Recruitment, the Lead coordinates daily tasks and acts as a subject matter expert for the Recruitment Assistants.

In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. What will you work on:

• Coordinates Recruitment Assistant functions, ensuring compliance with Collective Agreement and Provincial mandates while also seeking processing efficiencies.

• Prioritizes, monitors, and assigns the daily work to the Recruitment Assistants. Determines and provides recommendations to the Manager, Employee Recruitment regarding the required training for team members.

• Represents the department as subject matter expert with Scheduling, Payroll, IMIT, Benefit Carriers, and other Health Authorities.

• Strategically partners with Recruiters and other partners to understand the organization’s current and future health human resource needs and to develop plans aimed at proactively attracting talent to meet those needs.

• Builds and maintains effective communications and relationships with managers and staff within IH and other key partners.

• Provides critical analysis and evaluation of data by creating and manipulating spreadsheets, reporting data back to staff for review and correction where applicable. Implements strategies where possible to mitigate future errors.

• Prepares data/reports and presentations as assigned.

• Drafts and reviews offer letter templates for approval to ensure consistency and accuracy, and updates as required or to align with Collective Agreement changes.

• Prepares ad hoc reports and assists in the development of new reports to meet the changing needs of the organization.

• Identifies gaps between current and future system needs and recommends tactics to improve functionality and reporting in the short and long-term.

• Contributes to building change requests for design and development of future systems changes.

• Manages and participates in user acceptance testing of various systems changes. Prepares communication and training materials for changes as required.

• Identifies and translates business issues into questions that can be answered with data.

• Performs other related duties as assigned.

Qualifications

Education, Training and Experience

• A Diploma in Human Resources or Business Administration.
• Three (3) to Five (5) years of recent, related experience, preferably working in a large unionized HR office.
• Or an equivalent combination of education, training and experience.

Skills and Abilities

• A thorough knowledge of relevant Collective Agreements.
• Advanced knowledge of MS Excel including pivot tables, graphing, formulas, creating dashboards and reports, creating dashboards, experience working with large data sets.
• Ability to keep current with technological changes, anticipate opportunities, and ensure readiness for future technological changes and enhancements.
• Ability to exercise strong initiative, self-direction, and problem-solving skills to identify gaps and opportunities for improvements.
• Ability to coordinate and administrate HR functions.
• Ability to gather, summarize, and report information in a careful, thorough, clear, and concise manner.
• Ability to conduct research, analyze, strategize, plan, and problem solve.
